CloudTalk

Communication

Connect AI agents to CloudTalk, the cloud call center and business phone system. Agents place click-to-call calls, send SMS, manage contacts, and pull call history, agents, campaigns, and statistics for reporting and routing.

CloudTalk website ↗ Platform Documentation ↗ Capability data verified 2026-07-27
A lead crosses the qualification threshold in the CRM
Add Contact writes the lead into CloudTalk with E.164 numbers and company details
List Agents pulls the sales group and checks who is online and available
The flow drafts a call brief from the CRM context and scores the lead's priority
The available agent reviews the brief and accepts the connect
Make Call (Click to Call) rings the agent's line, then dials the lead when they answer
Send SMS follows an unanswered dial with a text from the team's number
The outcome, recording link, and notes post back to the deal thread

What This Integration Enables

CloudTalk runs the talking half of a sales and support operation: agents, groups, campaigns, numbers, and the call records they generate. This connector puts all of it inside FlowRunner workflows, and the direction matters both ways. Outbound, agents sync contacts and trigger Make Call (Click to Call), which by design rings a human agent first and only dials the customer once a person is on the line. Inbound, the call history, notes, and statistics that usually stay locked in the phone platform become scheduled feeds for CRM sync and reporting. - Create and update contacts from CRM and form events so the phone system always recognizes the caller - Trigger agent-first outbound calls to follow up high-value leads at speed - Send SMS notifications and appointment reminders from company numbers - Sync call history with direction, duration, and recording availability into sheets and dashboards - Pull aggregated statistics by date range and agent for performance reporting - Resolve agents, groups, campaigns, numbers, and tags to wire routing and attribution

Without FlowRunner

Speed-to-lead is measured in hours The qualified lead waits while someone copies a number from the CRM into a dialer
Call center reporting is a monthly export Statistics live inside the phone platform, assembled by hand when someone asks
The phone system and the CRM disagree Contacts exist in one, half exist in the other, and the caller ID means nothing

With FlowRunner

Qualified leads get dialed while they are warm The flow syncs the contact, finds an available agent, and connects the call in one pass
Statistics arrive on schedule Daily call counts, answer rates, and talk times land in the dashboard without an export
One contact record, both systems Every CRM change mirrors into CloudTalk, so inbound calls arrive with a name and a history

Use Case Scenarios

The hot-lead connect

A lead hits qualified in [HubSpot](/integrations/hubspot). The flow mirrors them into CloudTalk with Add Contact, checks List Agents for who is online in the sales group, and posts the call brief to the claiming rep. Make Call (Click to Call) rings the rep, then dials the lead. If nobody answers, Send SMS delivers a short intro text from the team's number, and the flow schedules the next attempt. The lead that converted while competitors were still importing CSVs is the whole point.

The daily call operations feed

Every night, List Calls pages through the day's records with direction, duration, and agent attached, List Notes joins the call notes, and rows append to [Google Sheets](/integrations/google-sheets). Get Statistics adds the day's aggregate: totals, answered, missed, average talk and wait times, per agent. The morning [Slack](/integrations/slack) digest shows yesterday's answer rate against the target, and the quarter's staffing conversation runs on data the phone system generated automatically.

Reminders that reduce no-shows

The afternoon before appointments, the flow reads tomorrow's bookings from [Google Calendar](/integrations/google-calendar), matches each customer with List Contacts, and sends a reminder through Send SMS from the SMS-enabled line. Confirmed replies update the booking; silent ones get flagged for a morning Make Call (Click to Call) touch by the coordinator. Outreach logs against the customer in [Pipedrive](/integrations/pipedrive) so the record shows every attempt.

Human-in-Loop Highlight

Delete Contact in CloudTalk is permanent, and it costs more than the record. The platform keeps the call history, but severs its association with the contact, which means the customer who calls back next quarter arrives as an unknown number with no linked history: the relationship's paper trail still exists somewhere, and no longer belongs to anyone. Address book hygiene is real work worth automating, so a FlowRunner cleanup agent does the sweep: List Contacts surfaces duplicates and stale entries, the agent matches them against the CRM, and it assembles a deletion candidate list with each contact's linked call volume shown. A person reviews the list, keeps the duplicate that looks stale but carries 40 calls of history, and approves the rest. Only then does Delete Contact run. The sweep is machine work; deciding which relationships lose their history is not a call an agent should make alone.

Agent Capabilities

15 actions

Calls

4
  • List Calls Retrieves paginated call records with filters for date range, call type, status, agent, and contact. Each record carries direction, duration, recording availability, and linked agent and contact, up to 100 per page. The feed behind CRM sync and reporting.
  • Get Call Retrieves a single call's full detail by ID, including timing, recording links, notes, tags, and rating. The context pull before a follow-up decision.
  • Make Call (Click to Call) Initiates an outbound call that rings the specified agent first, then dials the destination in E.164 format once they answer. The agent must be online and available. Outbound automation with a human on the line by design.
  • List Notes Retrieves paginated call notes, optionally filtered to a specific call, each with text, author, and timestamp. The qualitative layer for call reporting.

Contacts

4
  • List Contacts Retrieves paginated contacts with keyword search across name, phone, and email, each carrying numbers, emails, and tags. The matching step for caller recognition and hygiene sweeps.
  • Add Contact Creates a contact with a name plus optional company, title, address, numbers in E.164 format, emails, and custom attributes. The write that keeps the phone system recognizing your CRM's world.
  • Edit Contact Updates a contact by ID, changing only supplied fields. Supplied phone number or email sets replace the existing ones, so updates include everything worth keeping.
  • Delete Contact Permanently deletes a contact. Call history is retained but no longer associated with the record, which is exactly why this page's human gate exists for it.

Messaging

1
  • Send SMS Sends an SMS from one of your CloudTalk numbers to an E.164 destination, specifying the agent placing the message. SMS must be enabled on the account and the sending number.

Team and Routing

4
  • List Agents Retrieves paginated agents with name, email, extension, and availability status. The lookup behind routing decisions and call attribution.
  • List Groups Retrieves the ring and call groups that organize agents for inbound routing and reporting, with each group's internal number.
  • List Numbers Retrieves the account's phone numbers with label and country. The caller ID audit and From-line selection step.
  • List Tags Retrieves the tags used to categorize calls and contacts, with name and color. Keeps workflow-applied categories consistent with the account's taxonomy.

Campaigns and Reporting

2
  • List Campaigns Retrieves the outbound dialer campaigns configured in the account, including Smart, Power, and Predictive Dialer campaigns with type and status. The reporting join for outbound performance.
  • Get Statistics Retrieves aggregated call statistics for a date range: totals, inbound and outbound, answered and missed, average talk and wait times, optionally scoped to an agent. The single call behind the daily dashboard.
