Document Processing

Convert files between 200+ formats through CloudConvert. Agents convert documents, merge files to PDF, capture websites, optimize and archive files, extract metadata, and manage multi-step conversion jobs end to end.

15 actions API key available
A vendor drops a month-end folder of mixed invoices, Word docs, scans, and spreadsheets into shared storage
Extract Metadata reads each file's type, page count, and author to sort real invoices from noise
List Supported Formats confirms every source type has a conversion path to PDF and what each will cost in credits
Get Current User reads the remaining credit balance before the batch runs
The operations lead reviews the batch size against the credit balance and approves the conversion run
Convert File turns each document into PDF, saving every output to FlowRunner file storage
Merge Files to PDF assembles the converted set into one month-end packet in the agreed order
The finished packet URL posts to the finance channel with the job ID for the audit trail

What This Integration Enables

CloudConvert is a conversion engine with an API, not a converter with a website, and that distinction is the whole point for orchestration. FlowRunner agents treat file format as a solved problem: any document, image, audio, or video file that enters a workflow can be converted, merged, captured, compressed, thumbnailed, or archived as a step, with the output saved straight to FlowRunner file storage and its URL handed to the next action. - Normalize inbound documents to PDF before they reach approval or archival steps - Merge mixed batches of Office files, images, and PDFs into single deliverable packets - Capture live web pages as PDF or screenshot evidence on a schedule - Shrink files and generate thumbnails before emailing or storing them - Read PDF, EXIF, and video metadata to route files by what they actually contain - Run arbitrary multi-step pipelines through raw job graphs when the convenience actions are not enough Every conversion draws from a finite credit pool, which makes this one of the places where FlowRunner's [human-in-the-loop](/concepts/human-in-the-loop) discipline is about budget, not just safety: agents prepare and cost the batch, and a person approves the spend.

Without FlowRunner

Format roulette Every inbound document arrives in whatever format the sender preferred, and someone opens each one to deal with it
Manual assembly Month-end packets get built by hand, exporting, printing to PDF, and dragging pages into order
Invisible spend Conversion credits drain without anyone noticing until a batch fails mid-run

With FlowRunner

One conversion policy Agents normalize every inbound file to your standard format the moment it arrives, no desktop software involved
Packets that build themselves Merge order, optimization profile, and archive bundling are workflow steps, not afternoon projects
Costed batches Agents price a batch against the live credit balance and ask before they spend

Use Case Scenarios

The inbound document airlock

Files land in [Dropbox](/integrations/dropbox) from clients in every format imaginable. An agent picks up each new file, calls Extract Metadata to identify what it is, then Convert File to produce the standard PDF the downstream process expects. Optimize File shrinks anything oversized with the archiving profile, and the clean copy is written back to the client folder. Nothing downstream ever sees a .docx, a .heic, or a 40 MB scan again.

The month-end packet

On the last business day, an agent pulls report exports from [Google Drive](/integrations/google-drive), converts the spreadsheets and slides to PDF with Convert File, and calls Merge Files to PDF to build the board packet in the fixed order the CFO expects. Create Thumbnail generates a cover preview, Create Archive bundles the source files into a ZIP for the record, and [Gmail](/integrations/gmail) sends the packet. The human step is a review of the assembled packet before it goes out, not the assembly itself.

Web evidence on a schedule

A compliance workflow captures partner pricing pages weekly. Capture Website renders each page as a PDF after network idle, Extract Metadata stamps the record, and the captures archive to storage with the date in the filename. When a capture differs materially from the last one, the agent flags it for legal review. For anything beyond the standard captures, Create Job runs a custom task graph, and Get Job and List Tasks let the agent monitor long-running pipelines started with waiting disabled.

Human-in-Loop Highlight

CloudConvert meters every conversion in credits, and a naive loop can burn through the account's balance on one malformed batch: a folder of 500 scans converted at video-engine rates is spend that cannot be recalled. So batch workflows on this page cost the work before they run it. The agent calls List Supported Formats to price each conversion path, Get Current User to read the remaining balance, and posts: "This batch is 512 files, estimated 1,024 credits, balance is 1,400. Proceed?" The operations lead answers, and only then does Convert File start consuming the pool. The same discipline applies to Delete Job, which permanently removes a job's stored files: useful for scrubbing sensitive documents early, and exactly the kind of call an agent should propose rather than make.

Agent Capabilities

15 actions

Conversion

7
  • Convert File Converts a file to another format across 200+ supported formats, from a public URL or a FlowRunner file. Waits for completion by default and saves the output to FlowRunner file storage, returning its URL.
  • Merge Files to PDF Merges multiple files into a single PDF, converting non-PDF inputs automatically and preserving the order provided. The step behind assembled packets and combined reports.
  • Capture Website Captures a web page as a PDF or a PNG/JPG screenshot using a headless browser, with control over viewport, capture timing, and page ranges. Used for evidence capture and archiving.
  • Optimize File Reduces the size of a PDF, PNG, or JPG without changing its format, with profiles tuned for web, print, or archiving.
  • Create Archive Bundles multiple files into a ZIP, RAR, 7Z, or TAR archive for delivery or record-keeping.
  • Create Thumbnail Creates a PNG, JPG, or WEBP thumbnail from a document, image, or video, with fit, crop, or stretch sizing.
  • Extract Metadata Reads metadata from a file, PDF author and page count, image EXIF, video codec details, and returns it as JSON to drive routing logic. No output file is produced.

Jobs

4
  • Create Job Creates a job from a raw task graph, the escape hatch for pipelines the convenience actions do not cover: fan-out conversions, watermarking, webhook-driven jobs. Outputs are not auto-saved; export tasks expose temporary download URLs.
  • Get Job Retrieves a job by ID with its status, timestamps, and task results. The polling step for jobs started with waiting disabled.
  • List Jobs Lists the account's jobs newest first, filterable by status and tag, with pagination.
  • Delete Job Deletes a job with all its tasks and stored data. CloudConvert auto-deletes after 24 hours; explicit deletion exists to scrub sensitive files sooner, which is why it sits behind review.

Tasks

2
  • Get Task Retrieves a single task with its operation, status, consumed credits, and result. Used to inspect one step of a pipeline in detail.
  • List Tasks Lists tasks newest first, filterable by job, status, and operation type.

Reference

1
  • List Supported Formats Lists supported conversion pairs with the engine used and the credits each costs. The pricing step agents run before committing a batch.

Account

1
  • Get Current User Retrieves the account behind the API key, including remaining conversion credits. The balance check that makes credit-aware workflows possible.
