Use Case Scenarios

Closed-won to invoiced before the kickoff call

A deal closes in [HubSpot](/integrations/hubspot). The agent pulls the line items, matches the account with List Customers, and runs Create Customer only when the account is genuinely new. Create Invoice builds the draft against catalog items from List Items, so a mistyped unit price in the CRM cannot leak into billing. The controller approves the draft, Send Invoice delivers it with the hosted payment link, and the deal record gets the invoice URL written back. For deals still in negotiation, the same flow runs Create Estimate and Send Estimate instead, and Convert Estimate to Invoice fires when the customer approves the quote.

Cash application that keeps pace with the bank

Every morning the agent walks List Customers and calls Get Customer Balance for accounts with open invoices. Fresh past-due balances get a polite reminder through Send Invoice with a custom message. At fifteen days the tone firms up and the account manager is copied through [Slack](/integrations/slack). Past sixty days, the agent assembles the full picture, balance, payment history from List Payments, any existing credits from List Credit Notes, and hands it to a person: pursue, propose a payment plan, or write off. If the decision is a concession, Create Credit Note issues exactly what was approved.
