What This Integration Enables

Acuity PPM is built for the PMO, not the delivery team. The object of its API is not the task, it is the portfolio decision: which work is approved into the portfolio at all, how it scores against your own criteria, and what color it gets reported in this week. Fifteen of its thirty operations are whole-portfolio snapshots that return every project, every risk, every scoring row and every status report in a single call, which is exactly the shape an agent needs and exactly the shape a human finds unreadable.

FlowRunner agents take that raw portfolio and turn it into a briefing. They pull the snapshots, reconcile planned against actual cost, collate the scoring matrix into one row per proposal, and notice where the milestone dates have drifted away from the stoplight that is currently on file. Then they stop. Acuity PPM publishes no delete route anywhere in its API, so a filed status report can be amended but never withdrawn, and that is a good reason for the judgment in it to belong to a person. Every action here is built and verified against the Acuity PPM API.

Use Case Scenarios

  • The weekly status report assembled, not authored

    The reporting window opens. The agent calls List Projects for the portfolio-wide snapshot, then List Project Milestones, List Project Tasks and List Issues for the movement underneath it. For each project it compares this week's evidence against the stoplights on the last report from List Status Reports. Most projects have not moved and get a draft report that repeats last week's colors with a one-line narrative. A handful have: a milestone slipped, an issue count doubled, actual cost crossed plan. Those go to the PMO lead as proposals with the numbers attached. The lead decides the colors. Create Status Report files what the lead approved, project by project.

  • Portfolio cost drift caught in the same week it happens

    On a schedule, the agent reads planned against actual cost across the whole portfolio from List Projects and appends each week's row to a sheet in Google Sheets. It watches for projects whose actual cost has crossed a threshold your finance team set, and posts those to a Slack channel with the issue and risk counts from List Issues and List Risks alongside them, so the conversation starts with the exception rather than with a request for a report. Where a project's budget lives in the accounting system, the agent reconciles against QuickBooks Online before it raises anything.

  • Proposal intake that arrives already scored

    A request for new work comes in through a form or an email. The agent creates the record with Create Proposal, filling in the requestor and the proposal portfolio, then reads List Proposal Scores to place it against everything else waiting for approval. Because Acuity returns one row per proposal per scoring criterion, the agent collates those rows into a single comparison table and posts it ahead of the intake meeting. Update Proposal Timeline adjusts the dates as the sponsor negotiates them. The portfolio decision itself stays where it belongs, with the people who own the capacity.

Human-in-Loop Highlight

A status report in Acuity PPM is a judgment published to an executive audience, and this API has no delete. Create Status Report files it, Update Status Report amends it, and nothing withdraws it, so the first color anyone read is the one they remember. That is why the reporting agent never picks a stoplight. It posts the case instead: "Project Harbor is currently reported Green. Since the last report, two milestones moved out by eleven days, open issues went from 3 to 7, and actual cost passed plan. Proposed color Amber on Schedule and Amber on Budget. Confirm, or set them yourself?" The PMO lead answers in the channel, the agent files exactly what was approved with Create Status Report, and the amber is one a person will stand behind in the steering meeting. The agent did the assembling. The person did the calling.
