What This Integration Enables

SignNow's practical strength is that documents carry their own signing structure: roles, fields, and order live on the document, so sending becomes a mechanical act once the structure exists. That is precisely the shape orchestration wants. FlowRunner agents upload files with field auto-detection, spin up documents from templates, send role-based or free-form invites, poll for completion, and pull the flattened signed PDF into your archive, all through the SignNow REST API. - Upload contracts from a URL and auto-detect their signature fields in the same step - Generate signable documents from templates whenever a deal, order, or hire event fires - Route one agreement to multiple signers in a defined order with per-role field assignments - Send free-form sign-anywhere requests when no field setup exists - Detect completion by polling and archive the flattened PDF automatically - Keep the account tidy with reviewed, deliberate deletion The lifecycle has two moments a person should own: releasing an invite to a real recipient, and deleting a document forever. FlowRunner's [human-in-the-loop](/concepts/human-in-the-loop) steps sit on both, with the deletion gate carrying the most weight on this page.

Without FlowRunner

Every contract is a fresh setup Someone drags fields onto the same agreement for the hundredth time before it can go out
Status checked by inbox Whether a document is signed depends on whether the confirmation email got noticed
Cleanup deletes history Old documents get purged by hand, and occasionally the purge takes a live one with it

With FlowRunner

Templates carry the setup Fields and roles are defined once; agents spin up ready-to-send copies per deal
Status is polled, not hoped Agents watch signing state and act the moment the last signature lands
Deletion is a reviewed decision Purges are proposed with pending-invite warnings, and a person confirms

Use Case Scenarios

Won deal to signed agreement

A deal closes in [HubSpot](/integrations/hubspot). The agent pulls the contact, calls Create Document From Template against the services agreement, and prepares a Send Signing Invite with the customer signing first and the account executive countersigning second. The owner approves the recipients, the invite goes out, and the document ID logs to [Google Sheets](/integrations/google-sheets) as the tracking record. When Get Document reports all roles signed, Download Document retrieves the collapsed PDF and [Google Drive](/integrations/google-drive) files it under the account folder.

Field detection on inbound paperwork

Vendor onboarding packets arrive as PDFs and DOCX files in every layout imaginable. Upload Document with Detect Fields enabled lets SignNow find the text tags and fillable fields on the way in, so the document is ready for a role-based invite without a manual field-dragging session. Documents whose detection comes back empty fall back to Send Free-Form Invite, the sign-anywhere path for simple acknowledgments, and the workflow notes which path each document took.

The template library that maintains itself

When legal finalizes a new agreement version, the agent uploads it, and Create Template converts it into the reusable master. New signable copies come from Create Document From Template from then on, so every send inherits the current fields and roles. A monthly sweep with List Documents finds fully signed documents older than the retention window, verifies each has an archived copy, and queues the purge for review rather than executing it.

Human-in-Loop Highlight

Delete Document is doubly sharp in SignNow: it permanently destroys the document, and it cancels any signing invites still pending on it. A retention sweep that deletes on its own judgment can kill a contract mid-signature, with the recipient's link dying in their inbox and no way to restore what was destroyed. So the sweep on this page only nominates. The agent posts: "14 documents match the purge policy. 13 are fully signed with archived copies verified in Drive. One, 'Fleet Lease Addendum', still has a pending invite sent 40 days ago to the lessor's CFO. Delete the 13 and hold the addendum, or handle it separately?" The operations owner decides, the confirmed deletions run, and the held document routes back to its owner for a reminder or a formal cancellation. The archive check before deletion is mechanical; the decision that a contract is truly dead is not.

Agent Capabilities

9 actions

Documents

7
  • Upload Document Uploads a file from a public URL, PDF, DOC, DOCX, RTF, ODT, or common images, returning the document ID. With Detect Fields enabled, SignNow auto-detects text tags and fillable fields so the document is ready for role-based invites.
  • Get Document Retrieves a document's full details: name, page count, roles, fields, signatures, and invite status. The polling step that detects completion.
  • List Documents Lists documents and templates with IDs, timestamps, and signing status, paginated. The sweep behind tracking and retention workflows.
  • Send Signing Invite Sends a role-based invite for a document with defined roles and fields, matching each recipient to a role with an optional signing order. The structured send for contracts with multiple parties.
  • Send Free-Form Invite Sends a sign-anywhere invite for a document without predefined fields. The lightweight path for simple acknowledgments.
  • Download Document Downloads a document as base64 with a ready data URI. The Collapsed type returns the flattened signed PDF with all signatures and field values merged, the version you archive.
  • Delete Document Permanently deletes a document and cancels its pending invites. Cannot be undone, which is why it sits behind this page's human gate.

Templates

2
  • Create Template Converts a document into a reusable template, preserving fields and roles. The step that turns legal's latest version into the operational master.
  • Create Document From Template Creates a fresh signable document from a template, inheriting its fields and roles. The start of nearly every send on this page.
