They look up contacts by email before creating anything, so duplicates never take root, then keep the record alive: tagging and noting contacts as conversations happen, logging calls, meetings, and emails as activities, and creating follow-up tasks with owners and due dates the moment an interaction qualifies for one. Deals open in the right pipeline and stage and advance as the underlying events occur, not when someone remembers to drag a card. The division of labor is deliberate. Agents maintain the record and surface what needs attention; people make the relationship calls, including the destructive ones. Every booked meeting builds the record
An invitee books through [Calendly](/integrations/calendly). The agent runs Find Contact by Email; if the prospect is new, Create Contact adds them with company and contact fields assembled into Nimble's field structure automatically. Create Activity logs the booked meeting against the contact and Create Task schedules the follow-up for the owner. The owner gets a ping with the contact's history and any open deals, and decides whether this conversation deserves a pipeline entry via Create Deal. By the time the meeting starts, the CRM already knows about it.
